Information Technology — Asset Management Office

Client Business Issues:

The IT division of a large national organization was struggling to control the vast numbers of IT assets. The client’s goal was to implement an IT Asset Management Office with appropriate staffing, procedures, and supporting technology (including a central repository of IT assets). The responsibilities of the office are to effectively manage the clients IT assets, including the sharing/redeployment of underutilized equipment, management (including compliance) of software licenses, and provide historical data to the Contract Management Office to support future vendor contract/lease negotiation.

Our Approach:

To complete this effort Arc Partners assisted this client to:

  • Complete a rapid current state assessment of the Asset Management organization, including, current services and processes, organization, and asset types (h/w, s/w, server, desktop, lease/purchase, etc.).
  • Develop a vision and charter supporting the new IT Asset Management Office. This vision included an evaluation and identification of sources of asset data.
  • Design the future organization. Including the design and development of job descriptions and responsibilities, processes, reports and templates supporting process control and management reporting, and identification of supporting technologies (custom database application).
  • Implement the new Asset Management office, including identification review, and cleansing of source data, communications planning, and go-live.

Value Received By Client:

The new Asset Management office has created an environment that has enabled cost savings through the effective management of leases and IT assets. Specifically this office enables our client to:

  • clean-up their leased equipment environment (identify and terminate leases for equipment not being used, out of date, and/or no longer in-service),
  • proactively manage maturing leases (avoiding costly month-to-month charges),
  • improve software license management,
  • negotiate better pricing on software, equipment, and maintenance, and
  • identify opportunities to consolidate underutilized equipment (reducing the need for new purchases by freeing up equipment for redeployment).

The client is currently focusing efforts on the cleanup and management of their application software assets, server environments, and desktop environments and they anticipate first year savings are in excess of $5 million.
